This page provides a brief introduction to ORBilu if you are new to Unilu, or if you are leaving. You can also find additional information on the following pages objectives and philosophy of ORBilu, the deposit mandate, and the ORBilu team. For any questions email ORBilu@uni.lu
ORBilu is only available to staff members who undertake research or publish at Unilu.
First Steps in ORBilu
Your personal space ’MyORBilu’ is automatically created once you have a Unilu IT account.
Log in using your Unilu user ID and password. Your dashboard will then be displayed.
Should you wish to have specific training on ORBilu, you can reach out to the ORBilu team. Take advantage of the User Guide, the videos on the same page, and the FAQ for further information. We can also arrange training for your team or department.
ORBilu aims to showcase the research and scholarly output produced during a researcher’s affiliation with the University. Should you still wish to highlight work prior to joining Unilu, you have two options, you can also do both:
As soon as the publication has been accepted by the publisher. If the publication year is uncertain, it can be marked as “in progress” while adding the reference in ORBilu. It will remain in progress until you update it.
Do not submit works that have only been sent to a publisher but not yet accepted.
All research output that can be publicly shared can be deposited on ORBilu. Scholarly articles, published conference proceedings and doctoral theses are mandatory. ORBilu provides a permanent identifier that ensures the visibility of you and your content, and preservation for years to come. ORBilu shares metadata with many tools, search engines and databases automatically.
Peer‑reviewed articles and published conference proceedings must be accompanied by full text. Check publisher policies or use the Journal Checker Tool. If in doubt, you may deposit your Author Accepted Manuscript (AAM).
ORBilu allows up to three versions:

Publications completed prior to joining Unilu may also be deposited if the affiliation is accurately maintained, but is not necessary.
ORBilu has some automatic functions, such as semi-automatic deposit. The recommended method is to add your reference using an identifier such as DOI, PubMed ID, Scopus ID, or arXiv ID. This brings back quality metadata that you then just have to check, and add some additional UniLu specific metadata.

Full automation is not possible due to copyright restrictions, diversity of document types, and the need for high‑quality metadata which is UniLu specific.
ORBilu already automates what is legally and technically feasible, such as retrieving metadata from automated deposits DOIs.
You can link ORBilu to your ORCID account via your MyORBilu profile. This enables synchronisation and visibility of your work.
You may appoint a representative to add publications on your behalf. Do not share your password. You do this in your account.
References filed by a representative must be validated by the author before becoming visible.
ORBilu automatically provides a permanent handle. You may also request a DOI via the LLC or deposit in Zenodo (requires Open Access).
Your ORBilu account will be deactivated automatically when you leave the University of Luxembourg. Add an external email in your ORBilu profile before leaving, this is only for ORBilu administrators should we need to contact you. You should appoint a proxy to deposit remaining publications or ask the ORBilu team. All your references remain preserved.
